Job Title: Office & Guest Ambassador (Front Desk Coordinator)
Job Description:
As an Office & Guest Ambassador, based in our Westlake Village (CA) office, you will be a key stakeholder in building and maintaining long-lasting relationships with our external partners and clients, as well as a trusted collaborative co-worker in the office environment.
Receptionist Duties:
- Receive guests, answer/transfer incoming calls
- Create Welcome signs
- Mail, package distribution, shipping
- Ensure lobby area, conference rooms and demo/green rooms in order
- Point of contact for building maintenance issues and requests
- Point of contact for building management and other tenants
- Coordination of car service pick-up requests (Uber, Lyft, car and driver, limo)
- Coordination and execution of holiday seasonal decorations
- Executive s’ office support; special requests, furniture, gifts, etc.
- Employee welfare; coordinating gifts, cards, requests, questions, information.
Ordering:
- Kitchen supplies, office supplies, restocking supplies, supply runs (Staples, Target, Gelsons.)
- Tradeshow supply orders, packing and shipping materials.
Events, Trainings, Parties:
- All in-house event support (setting up, ordering, cleaning, hosting, breaking down, etc.)
- Coordinate, host and organize in-office lunches for staff (team lunches, birthday celebrations supplying cakes/cards/decorations and holiday celebrations, employee farewell parties
- Executive coffee runs
- Organize and host trainings providing breakfast, lunch and snacks throughout the day
- LAUS event support/lead when the Coordinator is out of town, SWAG
- Demo hosting support (set up room, set up food and drinks, lunches, acquire and distribute SWAW
Travel coordination back-up

- Flexible work hour schedule and ability to travel
- Proficient with Office suite / Sharepoint
- Bonus: proficient with CRM tools
